These Terms and Conditions apply to all trips operated by Courtside Escapes LLC (“Courtside Escapes,” “we,” “us,” or “our”). By paying any portion of the trip cost, the participant (“you,” “guest,” “traveler”) agrees to these Terms and Conditions.
1. About Courtside Escapes
Courtside Escapes is a small-group racquet-sport travel company offering curated trips that combine tennis, pickleball, and padel sessions, cultural activities such as cooking classes, guided tours, and wine tastings, group excursions, wellness activities, selected meals, accommodations, ground transportation, and on-site hosting by the Courtside Escapes team.
2. What Is Included
Trips include only the items listed in the trip description. Typically, this includes accommodations, daily breakfast, selected group meals, sports and coaching sessions, cultural activities, guided tours, wellness activities, group ground transportation from arrival to departure, and hosting by Courtside Escapes. Exact inclusions vary by trip.
3. What Is Not Included
Unless listed as “Included,” the following are not provided: international airfare, transportation in your home country, meals and drinks not listed, optional activities and private lessons, personal travel insurance, medical or emergency expenses, hotel incidentals, laundry, personal purchases, and tips.
4. Eligibility
Travelers must be 18 or older unless traveling with a parent or guardian who accepts responsibility. You must be physically able to participate safely in recreational sports and active walking activities. You are responsible for assessing your own fitness and notifying us of any limitations or medical conditions.
5. Booking, Deposits, and Payment Schedule
The following structure applies: 40 percent deposit at booking; full deposit refund until 60 days before the trip; 50 percent of deposit refunded from 59 to 45 days; deposit becomes fully non refundable at 45 days; remaining balance due 30 days before the trip. Failure to pay the balance by the deadline may result in cancellation without refund.
6. Cancellations
If you cancel your trip, refunds follow this schedule: more than 60 days before trip, full refund of deposit and payments; 59 to 45 days, 50 percent of deposit refunded and all other payments refunded; 45 to 30 days, deposit non refundable and all other payments refunded; 30 days or fewer, full trip cost is non refundable. No refunds are provided for missed activities, illness, late arrival, early departure, or personal schedule conflicts. Travel insurance is strongly recommended.
7. Changes by Courtside Escapes
We may modify activities, accommodations, scheduling, or transportation due to weather, safety concerns, provider availability, or other operational needs. If a significant change is required before the trip, we may offer a revised itinerary, credit, or refund of recoverable costs. We are not responsible for airfare or costs outside the trip price.
8. Health, Medical, and Safety Responsibility
You participate voluntarily in all sports and activities and are responsible for managing your own hydration, pacing, sun protection, and physical readiness. Courtside Escapes does not provide medical care. In case of medical need, we will assist in securing local help, but you are responsible for all related costs and must have valid coverage abroad.
9. Travel Insurance
We strongly recommend travel insurance that includes trip cancellation, trip interruption, medical care abroad, emergency evacuation, lost baggage, and sports-related injury coverage. You are responsible for purchasing your own policy.
10. Behavior and Conduct
Courtside Escapes may remove a guest from the trip, without refund, for behavior that endangers themselves or others, violates local laws, harasses or discriminates, disrupts the group, damages property, or ignores reasonable instructions from staff or guides. You are responsible for any damages you cause.
11. Third-Party Providers
Some services are provided by independent suppliers such as hotels, transport companies, local guides, cooking schools, wineries, and wellness providers. Courtside Escapes is not responsible for their actions, omissions, changes in availability, service quality, or delays. You agree to follow all rules and safety guidelines from third-party providers.
12. Photos and Media
Courtside Escapes may take photos and videos during the trip for marketing and promotional use. If you do not wish to appear in marketing materials, you must notify us in writing before the trip and we will make reasonable efforts to honor your request.
13. Passports, Visas, and Entry Requirements
You are responsible for ensuring you have a valid passport, necessary visas, required entry documents, and compliance with destination rules. Courtside Escapes is not responsible for denied boarding, denied entry, or missed activities due to documentation issues.
14. Force Majeure
Courtside Escapes is not responsible for delays, reduced services, or cancellations caused by factors outside our control including weather, natural disasters, illness outbreaks, government restrictions, strikes, closures, political events, or provider disruptions. Refunds in these cases are limited to amounts recoverable from suppliers.
15. Governing Law
These Terms and Conditions are governed by the laws of the State of Wisconsin. Any disputes will be resolved exclusively in Wisconsin courts.
16. Acceptance
By paying your deposit or any portion of the trip cost, you agree to these Terms and Conditions on behalf of yourself and any travelers included in your booking.
